What does website maintenance include?

Website maintenance is the regular care that keeps a live website safe and working: software and plugin updates, backups that are tested by restoring them, checks that the site is online, domain and SSL certificate renewals, form tests and small edits. In India it is often called an AMC, short for annual maintenance contract. Whirl Designs looks after websites from its Udupi studio, including ones another developer built.

Do it yourself, call when it breaks, or a care plan?

Not every website needs a care plan. How much care a site needs depends on what it runs on: plugins, forms, a shop, bookings. These are the three usual ways to look after one.

Do it yourself

Best for: A one-page site with no plugins and no forms

  • Switch on auto-renew for the domain and the SSL certificate
  • Turn on your host's backups and download a copy each month
  • Open the site on your phone once a week and try the call button

Best for: A simple site that changes a few times a year

  • Each fix or change is a separate small job
  • Nobody watches updates or backups in between

We do not have a client maintenance contract we can show you, so this page has no case study, and every figure on the status board at the top is invented. Instead, here is how we look after the systems we run ourselves, where any slip would hurt us first.

ERP Sutra, our own product arm, runs industry ERPs for paying users on ordinary shared hosting, the same kind of hosting most small business websites sit on. Its restore procedure has been drilled: we have actually brought it back from a backup instead of assuming it would work. And when bots filled the newsletter on our own website with 306 fake sign-ups, we closed the gap with a signed code hidden in the form, a limit on repeated sign-ups and a confirmation email every new subscriber must click, then wrote up what happened in public.

What every care plan covers

All six are in the written care plan, with how often each one happens, so you can check that it did.

  1. Updates, tried on a copy firstWordPress, the theme, plugins and the server's PHP version (the language the site runs on) are kept current, and security fixes go on first. Big updates are tried on a copy of your site before the real one. Plugins nobody uses any more are removed, because every add-on is one more thing to keep safe.
  2. Backups you can restoreCopies of the files and the database, daily for sites that change every day, kept away from your hosting account. On a set date we restore one to a test copy, so we know it works before the day you need it.
  3. Watching the siteA check every few minutes that the site is online, a scan for harmful code, and the renewal dates for your domain and the SSL certificate behind the padlock in the browser. If the site stops loading, the alert comes to us, so you do not hear it first from a customer.
  4. Forms and call buttons testedEach month we send a test enquiry through every form and try the call and WhatsApp buttons on a phone. A form that quietly stops sending loses enquiries for weeks before anyone notices.
  5. Small changes on requestNew timings, photos, a notice, a staff member, or an offer page built from a layout you already have. Send it on WhatsApp or email and it is logged as a request, so nothing sent on a busy day gets lost. Most small edits go live the same or the next working day.
  6. A short note each monthWhat was updated, when the last backup and restore test ran, any downtime, and every change you asked for, in plain English. Anything that needs your decision sits at the top.

How it runs

How we take on your website

It starts with a check and a clean-up. After that, the same checks run on a schedule you can see.

  1. A health check first

    We go through the whole site: platform and versions, plugins, hosting, backups, forms, speed on a phone, and who holds which login. You get a written list of what we found, most urgent first.

  2. Fix what cannot wait

    An expired certificate, a broken enquiry form or a plugin with a known security problem is fixed first, as a one-time piece of work, before regular care begins.

  3. Every login in your name

    Domain, hosting, Google and admin accounts are moved into your business's name, with our access added as your developer. Nobody who leaves can take your website with them.

  4. The care plan, in writing

    What we check and how often, what counts as a small change, how fast we reply, and what happens outside working hours. You agree it before the first month starts.

  5. A look back every few months

    Checks run on schedule and requests are logged as they come in. Every few months we also sit down with you over the bigger picture: plugins to drop, renewals coming up, and pages that have gone out of date.

Not a fit

When a care plan is the wrong choice

Better to hear this at the health check than three months in.

  • You need someone on call at 3 am with a fifteen-minute response. That takes a round-the-clock operations team. We are one studio in Udupi that works office hours, and the plan says so plainly.
  • The site is being replaced in the next few months. Put the effort into the new one, and keep only backups and renewals running on the old site until it goes.
  • Your hosting company already runs updates and daily backups for you, on a managed plan you trust. You may only need someone for changes, and those can be booked as small jobs.

Questions about website maintenance

Do you maintain websites that another developer built?

Yes, after a health check. We look at the platform, the plugins, the hosting and who holds the logins, then tell you in writing whether the site is in good enough shape to look after. A WordPress site on a well-known theme is usually easy to take on. A heavily customised site with no notes takes longer, and if it needs rebuilding rather than care, we will say so.

What does a website AMC cover, and what is outside it?

A website AMC, or annual maintenance contract, covers looking after the site you already have: updates, backups, checks, and small edits such as new text, photos, timings or a page built from an existing layout. New features sit outside it, such as online payments, a booking calendar or a redesign. We tell you which side a request falls on before we start it.

How often should a website be maintained?

Different parts on different clocks: an online check every few minutes, security fixes within days, backups daily or weekly, and form tests every month. A shop or booking site that changes every day needs daily backups; a five-page site that changes once a month can be backed up weekly. Keep the copies away from your hosting account, and try a restore now and then.

How quickly will you fix my website if it goes down?

You get a reply the same working day, and a site that is down goes ahead of every other request. Monitoring alerts us when it stops loading, so you are not the one who has to spot it. Most outages come from the hosting, an expired domain or certificate, or a bad update, so those are checked first. The written plan says what happens outside working hours.

Does a WordPress website need regular maintenance?

Yes. WordPress, its theme and each plugin put out updates often, many of them security fixes, and an out-of-date plugin is one of the usual ways into a site. A hand-built site has fewer add-ons, so it needs less care, but its hosting, certificate, server software and forms still need watching. We write the care plan to fit the site.

How is maintenance different from a security audit or speed work?

Maintenance is ongoing care for a site that already works; the others are one-off jobs. A security audit is a deep check for weak spots, speed work makes slow pages load faster, and a rescue moves a site too old to update safely onto something current. If the health check shows your site needs one of these first, including a clean-up after a hack, that comes before regular care.

Can we meet you, or is everything done on WhatsApp?

Both work. Our studio is in Udupi. For the first health check we can also visit you, whether you are in Udupi, Manipal, Karkala, Kundapura or Mangaluru, and sit down with the person who holds the site's logins. After that, requests are easiest by WhatsApp, phone or email, and each one is logged. Businesses further away, across India or abroad, work with us the same way, remotely.

What happens to our website if we stop the plan?

Nothing breaks, and nothing is held back. The domain, hosting and admin logins are already in your name, so we hand over the latest backups and our notes on the site, remove our own access, and the site carries on. You can look after it yourself or pass it to another developer.
