POS (point of sale) billing software is the system at a shop counter that adds up a sale, works out the GST, records cash, UPI or card payment, prints or sends the bill and takes the items out of stock in one step. A jewellery counter asks more of billing than most shops. The customer may be paying into a savings scheme or bringing old gold to exchange, and every piece in the showcase has to be counted. Jayalaxmi Jewellers, a gold house in Karkala trading since 1990, needed a counter system that could carry all of this.
We built the shop a retail ERP of its own, separate from its brand website. Counter billing, stock, old-gold exchange, savings schemes: all of it runs in that one system. Staff permissions are capability-based, which means each action is switched on only for the people whose job needs it. Customers get receipts and reminders on WhatsApp, straight from the system, using approved message templates.

Six parts of every billing system we build
Each one is named in the written plan you approve, so you know what the finished counter will have before a single screen is built.
- The sale screenMade for the moment a queue forms: find an item by name, code or barcode, change a quantity and print. One bill can be split between cash, UPI and card, or put on a regular customer's credit (udhaar) account. Your staff try it at your own counter before anything else is added.
- Tax and customer tiersGST worked out item by item, with CGST and SGST, or IGST for sales to other states, and HSN codes on every tax invoice. Bills of supply or non-GST bills where your business issues them. Wholesale, retail and dealer buyers can each be billed from their own list, set by you.
- Printing and hardwareReceipts on 2-inch or 3-inch thermal printers over Bluetooth, USB or the network, laid out to fit the roll with your shop name and GSTIN. Barcode scanners, label printers for goods that arrive without a barcode, and cash drawers are connected too. A bill can also go to the customer's WhatsApp instead of paper.
- Stock that follows the billA sale takes items out, a return puts them back and a cancelled bill reverses its sale. Purchases, transfers between branches and write-offs for damaged goods are counted too, so the figure on screen can be checked against the shelf.
- Staff limits and a logGiving money off, changing the amount on a bill line, taking a return or cancelling a printed bill is open only to the people you choose. Each one is logged with a name and a time, so the owner can see what changed after closing.
- Day-end and your accountantA closing summary split by cash, UPI and card, daily sales and tax reports, and exports your accountant can bring into Tally or other accounting software instead of typing them in again.

A written plan and a sample bill
The screens, tax rules, printers and reports are set down on paper, with a mock-up of your printed bill. Nothing is built until you agree to it.
A trial counter
The billing screen goes on one counter or one phone with your items loaded. Staff ring up practice sales until it feels quicker than the old way.
Your items and opening stock
Item names, HSN codes, what each item sells for and your opening stock come in from Excel or your old software, and the totals are checked with you line by line.
Switch over on a quiet day
Switching over is done on a slow weekday, never in a festival rush, with one of us at the shop or on the phone through the first days.
Support from the people who built it
A new printer, a change in GST rules, one more counter or a second branch comes back to us, the team that set up your billing, so no one has to learn your shop from the start.
Not a fit
When we will talk you out of a new POS
Sometimes the honest advice is to wait, or to keep the system you already have.
- Your festival season starts in two weeks. Changing a counter in the middle of the rush is how sales get lost, so plan it for after.
- You want the billing system to replace Tally as well. Keep Tally for the books and let the billing system feed it, so your accountant's work does not change.
- Your stock has never been counted. Software cannot correct a shelf nobody has checked, so count it first and we will load the result.
- Nobody at the shop can spare an hour a week to try the screens. Counter staff comments are what make billing quick, and without them we would be guessing.
Questions
Questions shop owners ask about billing software
Does the billing software work without internet?
Yes, it can be built to keep billing when the internet drops, and at a busy counter it should be. Sales are saved on the counter and sent up once the line is back, along with anything that needs the internet, such as WhatsApp bills or figures for head office. The system we built for Nityanand Agro works over patchy rural signal.
Can it print bills on a thermal printer, even from a phone?
Yes. In the billing system we built for Nityanand Agro, staff send each receipt from their phone to a Bluetooth thermal printer. Printing from a phone means a bill can be made at a stall, on a delivery or at a counter with no computer. A fixed counter can use a USB or network printer instead, and we try the printer you already own before suggesting a new one.
Is the billing software GST compliant, and can it make non-GST bills too?
Yes to both. Tax invoices follow GST rules, and the same system can issue non-GST bills for goods outside GST; the Nityanand Agro system we built bills both ways. The two stay apart in the reports, so your accountant can file without sorting bills by hand. Where e-invoicing applies, business bills can carry the government's invoice number (IRN) and QR code, which we have already built into Facet, a diamond and jewellery ERP from our own product arm.
Can several staff bill at once, on more than one counter or branch?
Yes. Each counter, phone or branch bills into the same system, so stock and sales stay in one place while several people work at once. Every person logs in with their own account and can only do what you have allowed for their job, such as taking returns or cancelling a bill. The owner can see each counter's sales for the day, or every branch together.
Can billing software handle jewellery weight, making charges and old gold?
Yes. A jewellery bill is worked out from weight, purity, the day's gold value, making charges and GST, and often has old gold or a scheme balance set against it. The retail ERP we built for Jayalaxmi Jewellers in Karkala already handles savings schemes as well as old-gold exchange, so scheme and exchange bills are work we have done before, not something we would be trying for the first time.
Can it do restaurant billing with tables and KOT?
Yes. A restaurant system can take orders table by table, print kitchen order tickets (KOT) at the kitchen and make the bill when the table is done, with parcel orders kept separate. For a single-counter café with a short, fixed menu, though, a ready-made restaurant billing app usually does the job, and that is what we would suggest.
How long does it take to build billing software?
A first counter is usually billing within one to two months. A fuller system with stock, purchases, several counters or branches and reports usually takes two to four months. Each part goes live as it is finished, so your staff bill on the new system well before the last report is added. Quick answers from your side keep it nearer the shorter end.
Can the billing screen and printed bills be in Kannada?
Yes. The billing screen can show Kannada, English, or the two side by side, and bills can print Kannada item names on printers that support it; we check yours before promising. We work from our studio in Udupi and come to shops in Udupi, Manipal, Mangaluru, Karkala and Kundapura to watch the counter and set up the hardware.
