A shared sheet and WhatsApp
Best for: One or two people, a few enquiries a day
- Nothing new for anyone to learn
- Works until follow-ups start slipping
- No reminders, and the history leaves with the person
Custom CRM development · Udupi & Mangaluru
We build sales CRMs for businesses in Udupi, Mangaluru and along the coast: every call, WhatsApp and web enquiry in one list, and the next follow-up on the right phone. We plan it with your sales team and keep supporting it after launch.
In short
A custom CRM (customer relationship management system) is sales software made for one company's way of selling, rather than an off-the-shelf app the team must adjust to. It keeps every enquiry, the stage each deal has reached and who has to follow up next. Whirl Designs builds them at its Udupi studio for sales teams across Mangaluru and coastal Karnataka, and each business keeps the system and its data.
Start here
Plenty of teams do not need a custom CRM yet. These are the three honest options, from the simplest up.
Best for: One or two people, a few enquiries a day
Best for: Selling the standard way: enquiry, call, close
Best for: Selling that a standard pipeline does not fit
At the first meeting we will say which of the three fits you, even when it is not the one we build.
Our work
Nityanand Agro
Agriculture & retail · Karnataka
Nityanand Agro sells agri products in Karnataka. Beside its public catalogue website, the business needed an internal system its staff could run the whole working day on, covering customers, sales and the stock behind them, on their phones and in places where the signal comes and goes.
It runs in the browser and installs like an app, so staff put it on their home screens without going through a store. Each customer belongs to a tier that decides what they are billed, and every sale moves the stock with it.
Also built by us
Jayalaxmi Jewellers
Retail jewellery · Karkala
A brand site for a gold house trading since 1990, built to feel like the shop it represents — and backed by a full retail ERP handling billing, savings schemes and old-gold exchange.
Padmavathi Tours & Travels
Travel & transport · Udupi
A chauffeur-hire company with almost no online presence, rebuilt as a 190-page site that answers the exact searches its customers type — every vehicle, every route, every town.
What you get
Your stages and fields will differ from the next business. These six parts come with every CRM, and each is listed in the plan before work starts.
How it runs
Your team keeps selling the old way until the new CRM has proved itself on real enquiries.
From the first call or message to the final bill, we follow how enquiries move today, who touches each one and where they go quiet.
The plan lists your pipeline stages, the fields a salesperson fills in, the reminders, roles and reports, and which of them comes first. Nothing is built until you have read it and agreed.
Lists from spreadsheets, phone contacts or an old CRM are cleaned, duplicates are merged and the records imported. You check a sample before anyone works from it.
The enquiry list, the pipeline and the reminders go live first, and your team uses them on real leads while the rest is built.
WhatsApp messages, links to billing and the sales reports follow in stages. After launch, the people who built the CRM handle fixes and changes.
Not a fit
Any one of these is a good reason to wait.
Questions
A first version with the enquiry list, pipeline and reminders is usually in use within four to eight weeks. With WhatsApp messages, billing links and reports added one by one, the full CRM usually takes two to four months. More lead sources, branches or systems to link make the job bigger, and quick feedback from your team keeps it moving.
Often, yes. If your team sells the standard way, from enquiry to call to close, a ready-made CRM will do the job and we will help you choose one. Building your own makes sense when your selling has steps those apps do not fit, such as site visits, customer tiers or repeat orders, or when the CRM must share data with your billing and stock.
Yes, through the official WhatsApp Business API. Follow-ups, receipts and reminders go out from the CRM itself. A message sent more than 24 hours after the customer last wrote to you must use a template that WhatsApp has approved, so we set those templates up with you. Jayalaxmi Jewellers sends receipts and reminders from its retail system this way.
Yes, for most sources. Website forms feed straight in, and IndiaMART offers a lead feed that passes each new buyer enquiry to outside software. Where a source only sends enquiries by email, the CRM can often read them from that inbox. We check what each source allows before promising a link, and phone enquiries are added in a few taps.
Yes. Spreadsheets, contacts saved on salespeople's phones and exports from an old CRM can all be brought in, with duplicates merged along the way. Past call notes and deal history can usually come across too, if the old system lets you export them. Your team keeps using the old list until the new one has been checked.
Yes. It runs in the phone's browser, installs on the home screen and is built to load on a weak connection and hold on to what was typed when the signal drops. Nityanand Agro's staff use their system this way over patchy rural signal. Before launch, we try each screen on the handsets your salespeople carry.
Your business does, along with the CRM itself. The code, the customer database and the hosting account are registered to your business, and you can export the full customer list at any time. Everyone logs in with their own password, a backup copy is kept off the server, and when a salesperson leaves, their customers and call history stay with you.
Yes. Staff screens, reminders and customer WhatsApp messages can use Kannada, English or a mix of the two. Our studio is in Udupi, so sales teams in Manipal, Mangaluru, Karkala and Kundapura can be trained face to face, in the language they sell in. Teams further away learn the CRM over video calls instead.
